We are seeking an Office Coordinator to support the day-to-day operations of our Montreal office. This role is responsible for ensuring a welcoming, well-organized, and efficient workplace while supporting employees, visitors, and operational needs across the office. The ideal candidate is highly organized, proactive, and comfortable managing a variety of responsibilities in a fast-paced, collaborative environment. This position is required to work in person at our office located in Montreal and is a 1-year renewable contract.
What you’ll do as a Office Coordinator
- Greet visitors and manage front desk operations with professionalism and courtesy
- Manage visitor check-ins, desk assignments, and workspace access
- Maintain clean, organized, and welcoming reception and common areas
- Manage daily office operations to ensure the workspace is clean, stocked, and functional
- Oversee office supplies, groceries, lunch orders, and swag inventory
- Coordinate mail, deliveries, and vendor communications
- Liaise with building management regarding maintenance, repairs, and general upkeep
- Handle last-minute meeting room bookings and priority-based changes
- Support onboarding and offboarding logistics, including desk setup, access, NDAs, and welcome experience
- Provide onsite support during special team weeks, events, and cross-team initiatives
- Support other departments and remote employees as needed
- Assist with staff events and basic staff record tracking
- Provide customer support via email and in-person interactions
- Proofread documents for accuracy and clarity
- Complete additional tasks as assigned to support office operations
What you’ll bring
- 3–5 years of relevant experience in an office, facilities, or professional services environment
- Strong interpersonal skills and service-oriented mindset
- Excellent written and verbal communication skills
- Ability to manage sensitive situations with professionalism and discretion
- Proactive, detail-oriented, and comfortable taking ownership
- Fully bilingual in English and French (spoken and written) due to a high volume of visitors who are Francophones and Anglophones.
