The Administrative Assistant provides proactive administrative and operational support to two dynamic business areas — Digital Games and Digital Licensing. This is a unique opportunity to support two creative, fast-paced teams driving digital innovation and brand partnerships.

What You'll Do:
Administrative & Calendar Management
- Manage complex calendars for two leaders, resolving scheduling conflicts/
- Prepare and share meeting context in advance (agendas, attendees, objectives, and prep materials).
- Anticipate upcoming priorities and proactively adjust schedules to protect leader bandwidth and ensure operational flow.
Travel & Expense Coordination
- Arrange end-to-end domestic and international travel, including flights, hotels, ground transportation, and itineraries.
- Process and reconcile expense reports.
- Anticipate travel needs and manage disruptions with flexibility, professionalism, and discretion.
Team & Communication Support
- Build and maintain strong cross-team relationships and partner with teams to coordinate logistics for projects, meetings, and events.
- Support onboarding and offboarding for new hires, coordinating logistics, equipment, and introductions.
- Help coordinate and execute team events, including Offsites, Town Halls, morale events, and onsite visits.
Project & Event Coordination
- Learn key milestones of small- to medium-sized projects, with direction from a project lead, and put measures in place to ensure leaders are prepared to deliver against deadlines (e.g., calendar holds, reminders, pre-read organization).
- Track key milestones, action items, and follow-ups using tools like Smartsheet.
- Prepare and distribute materials for offsites, planning sessions, or key business reviews.
Operational & Business Awareness
- Demonstrate curiosity about how the team’s work connects to company goals and express genuine interest in learning the “why” behind processes.
- Identify and suggest process improvements that streamline administrative and operational workflows.
- Handle sensitive information and communications with the highest level of professionalism and discretion.
What You'll Bring:
- 2+ years of administrative experience supporting multiple leaders or departments.
- Strong proficiency with Microsoft Office Suite, Outlook, and collaboration tools (Teams, OneDrive, SharePoint).
- Excellent written and verbal communication skills with strong attention to detail.
- Demonstrated ability to handle multiple priorities in a fast-paced environment.
- Experience within or familiarity with the games or entertainment industry is preferred but not required.

The hourly rate for this position is $35.30 to $60.40. The hiring range will vary based on factors such as experience, skills, location and market conditions. Additionally, employees may be eligible for annual and long-term incentives as part of their overall compensation package.
