Role Overview:

The Sales Administration Support plays a critical role in assisting the APAC Commercial Team by providing high-quality administrative and operational support. This role works closely with the Sales Manager for APAC and regional Sales Managers across SEA, North Asia, China, and the Pacific, ensuring smooth and efficient execution of sales and operational initiatives. By managing key administrative tasks, this role allows the Sales Managers to focus on strategic planning, business growth, and team development while ensuring operational continuity across the region.

Key Responsibilities:

1. Regional Coordination & Distributor Support

  • Collect and consolidate distributor sell-in data and inventory reports.
  • Monitor distributor stock levels to prevent stockouts or overstock situations that could impact sales performance.
  • Follow up on distributor requests and operational issues to ensure timely resolution, minimizing administrative burden on Sales Managers.

2. Internal Coordination & Planning Support

  • Provide administrative support during key business cycles, including PCR planning, budget management, and reporting for new initiatives.
  • Maintain accurate sales data and reporting to enable timely decision-making and planning, ensuring line plans, product data, and pricing are correct.
  • Ensure timely delivery of planning data (e.g., Sales Release Planner) to avoid delays that could impact regional targets.
  • Support the Product Manager in disseminating product and studio policies across the region, ensuring compliance and awareness among sales teams and distributors.

3. Sales & Operational Support

  • Support inventory and replenishment requests, consolidating reprint and transfer requests and forwarding them for management approval.
  • Ensure proactive communication with Operations to address inventory issues, ensuring sales teams have necessary stock to meet regional demand.
  • Track payment status, product pickups, and other operational updates to inform the sales team for follow-up with distributors.
  • Assist the sales team in applying for credit limit increases and follow through the process.
  • Manage the distribution of sales assets internally and externally, ensuring teams and distributors have access to up-to-date information and guidelines.
  • Maintain and update the Sales Release Planner with key product information.
  • Assist with administrative tasks related to orders, pricing, and product setup inquiries.
  • Create Free-of-Charge (FOC) and sample order forms when required.

4. Legal Ticket Tracking & Coordination

  • Track legal tickets submitted by the sales team and ensure timely resolution.
  • Ensure that legal issues, such as contract reviews or compliance checks, are addressed promptly to avoid operational disruptions.
  • Support the sales team on contract renewals and terms revisions.

Qualifications:

  • Proven experience in sales administration or operational support, preferably within a sales or commercial team setting.
  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to work across teams and regions.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and CRM or sales management tools.
  • Ability to work in a fast-paced environment with shifting priorities.
  • Strong problem-solving skills, attention to detail, and the ability to work independently.
