The Senior Executive Assistant is a trusted partner to our President, EMEA & APAC, and will be responsible for exercising sound judgement, discretion, and authority in managing priorities, time, and stakeholder interactions across regions and time zones. Acting as a Senior Executive Assistant will require emotional maturity, confidence, and the ability to operate independently in a fast-moving, complex, global environment. Success in this position will depend on judgement, anticipation, and the ability to manage senior stakeholders calmly and effectively.

 

This role will include additional responsibility of Singapore office management.

 

What You’ll Do: 

Executive Assistant to President, EMEA & APAC

  • Act as the primary gatekeeper for the executive’s time, priorities, and attention
  • Own end-to-end calendar management, including:
    • Coordinating across multiple regions and time zones
    • Proactively protecting focus time
    • Challenging or declining meetings that are unnecessary, poorly prepared, or misaligned
    • Independently resolving scheduling conflicts without escalation
  • Manage the full spectrum of global travel arrangements (flights, accommodation, ground transport, visas), ensuring compliance with company policy and seamless execution
  • Handle confidential contracts, documents, and correspondence with discretion and professionalism
  • Manage expenses, approvals, and follow-ups with precision and timeliness
  • Anticipate needs, identify risks, and surface trade-offs before issues arise
  • The role requires judgement and decision-making, not just execution.

 

Leadership Team & Strategic Coordination

  • Support leadership team operating rhythms, including:
    • Preparing agendas, pre-reads, and materials
    • Coordinating and facilitating leadership meetings across regions
    • Capturing decisions, actions, and follow-ups with clarity
  • Track key actions, timelines, and dependencies across leadership priorities and strategic initiatives
  • Proactively follow up with senior stakeholders to ensure accountability and closure
  • Assist with leadership presentations, correspondence, and communications as required

 

Singapore Office Management

  • Own the day-to-day operational excellence of the Singapore office
  • Act as the single point of accountability for office operations and facilities
  • Manage vendors and service providers, including:
    • Onboarding new vendors
    • PO creation, invoice processing, and payment follow-up
    • Ongoing performance and cost management
  • Oversee office facilities and supplies (including pantry, safety equipment, and general upkeep)
  • Manage office-related budgets (supplies, services) with a focus on cost control and value optimisation
  • Ensure office issues are addressed proactively without executive involvement

 

IT & Infrastructure Coordination

  • Serve as the primary liaison between regional IT (HK) and local IT vendors
  • Coordinate IT logistics for the Singapore office, including onboarding and offboarding support
  • Ensure equipment readiness and timely resolution of local IT issues

 

Events & Engagement (Supporting Responsibility)

  • Support the planning and execution of company events, leadership meetings, training sessions, and conferences
  • Assist with employee engagement initiatives where appropriate (e.g., CSR activities, office events)

What You’ll Bring: 

  • 7+ years of experience as an Executive Assistant supporting senior leaders (SVP / President / C-suite)
  • Proven experience managing complex global calendars and stakeholders
  • Experience working in regional or global organisations
  • Demonstrated ability to push back diplomatically and manage difficult conversations with senior stakeholders
  • High emotional intelligence, sound judgement, and composure under pressure
  • Absolute discretion and professionalism in handling confidential information
  • Excellent written and verbal English
  • Advanced proficiency in Microsoft Office (PowerPoint essential)

 

Preferred Skills & Qualifications:

  • Experience in consumer, retail, lifestyle, or branded environments
  • Prior responsibility for office or facilities management
  • Experience working within a global EA network
