We are seeking a talented Sales Admin and Customer Services Specialist who excels in administration, has a keen eye for detail, and possesses exemplary customer service skills. The role of Associate Specialist Asset Delivery focuses on ensuring the timely and accurate delivery of digital and analogue assets to customers across various retail channels. The position serves customers directly and is a vital key link between sales teams, customers, and the resources in the Commercial Admin shared service centre. This role collates, coordinates, and delivers the customer asset requirements so our customers can trade and order with us and have the best product pages.

Key Responsibilities

1. Asset Management & Delivery

  • Receive and process customer asset requests from Sales Account Managers and directly from our Customers.
  • Coordinate additional requests with the shared service centre (via a request portal) to ensure all tasks are completed accurately and on time, with quality checks in place.
  • Deliver a variety of assets, including lifestyle images, pack shots, videos, eCopy, listing and quote sheets, and new line forms, whether directly or via the shared service centre.
  • Handle a diverse regional portfolio across Toy Specialists, Mass, Value & Club, and Distributor/Wholesaler customer channels.
  • Ensure timely deliveries in alignment with account-specific critical paths and embargo dates.
  • Support pre-order asset requests as needed.
  • Maintain compliance with On Shelf Dates and handle IP-sensitive data securely.
  • Use and handle tools such as PIM (product information management), Apptastic, IceCat, and Syndigo effectively.

2. Coordination & Organisation

  • Act as a liaison between local Sales teams, regional Sales Operation team, and the shared service center to ensure all parties understand what the customer needs.
  • Assist with mapping and maintaining retailer templates within Apptastic.
  • Identify and call out gaps in data or missing assets.
  • Detail account-specific processes and operating procedures for future reference and scalability.
  • Support the shared service center in their training and provide operational mentorship to ensure quality and consistency.
  • Supervise the transition of work to the shared service center team and flag any disruptions to customer delivery timelines.
  • Be the ambassador for moving customers to our global and regional syndication partners (Syndigo and Ice Cat) or any other sanctioned syndication partners
  • Track performance metrics, report on blockers, and contribute to team and cross-functional meetings.

Required Skills & Qualifications

  • English proficiency: Advanced level required (verbal and written).
  • Spanish proficiency: Advanced level required (other European languages would be an advantage)
  • Organisation & Multi-Task Management: Ability to handle multiple accounts and task transitions simultaneously.
  • Communication (verbal and written): Strong liaison required between our customers and sales account managers and the shared service team members, and the regional sales operations team.
  • Process Optimization: Proven experience in process mapping and identifying efficiency improvements.
  • Digital Asset Management: Knowledge of digital asset lifecycle and systems.
  • Data Skills: Proficient in Excel (e.g., VLOOKUP, SUMIF, AVERAGEIF), and handling data and reporting with confidence.
  • Adaptability: Comfortable working in a fast-paced, evolving role with changing priorities.
